Exactly what data each feature sends

Every AI feature below lists precisely what data leaves our servers, when, and under what conditions. Nothing is vague.

Medication label scanner

Point your camera at a prescription label. AI reads the medication name, dosage, and instructions and pre-fills the form.

Data sent to AI

The complete label image, including any patient, prescriber, or pharmacy details visible in it. No separate care record is added.

Triggered when

Only when you tap "Scan label" on the medication form.

Monthly care summary

A plain-English summary of the last 30 days: medications given, wellness trends, appointments attended, and anything that stands out.

Data sent to AI

Medication names, doses, schedules and status; wellness scores, dates and recent notes; appointment titles, dates, status, notes and masked clinician identifiers.

Triggered when

Only when you tap "Generate summary" on the Monthly Summary page.

Doctor's visit briefing

A concise 30-day visit preparation draft with recorded medication outcomes, vitals, wellness entries, and questions to verify.

Data sent to AI

Age, allergies, a masked GP identifier, medication and dose records, wellness scores and notes, vitals, and recent appointment titles.

Triggered when

Only when you tap "Generate briefing" on the Doctor's Summary page.

AI care assistant

Ask questions about a selected loved one’s medications, appointments, or wellness record.

Data sent to AI

Recent chat messages plus the selected resident’s masked name, date of birth, general notes, active medications, five recent appointments, and seven recent wellness entries and notes.

Triggered when

Only when you send a message in the AI Assistant chat.

Care handover report

A structured briefing for a new carer, nurse, or hospital ward. Covers current medications, recent visit notes, outstanding tasks, and care preferences.

Data sent to AI

Resident profile and identifiers, allergies, GP and emergency details, active medicines, appointments, vitals, care notes, tasks, incidents, and risk information used by the report.

Triggered when

Only when you tap "Generate handover" on the Handover Report page.

Wellness insights

Notices patterns in mood and pain scores over time and highlights anything that may be worth discussing with a healthcare professional.

Data sent to AI

Resident or caregiver wellness scores, dates, energy, sleep, support status, and recent free-text notes. The selected resident name is masked.

Triggered when

Only when you tap "Analyse" on the Wellness page.

Proactive care alerts

Scheduled checks look for predefined wellness and dose-record patterns, then AI rewrites a short notification when a pattern is found.

Data sent to AI

The detected pattern, such as rising pain, repeated low mood, or missed and skipped dose counts. Resident names are added after AI processing.

Triggered when

On a schedule while master consent and this individual tool remain enabled.

Document summarisation

Creates a plain-English draft summary from a document you choose in the vault.

Data sent to AI

Text extracted from the selected document. Identifiers present inside the document may be included.

Triggered when

Only when you request a summary for a selected document.

Data protection

How we protect your data when AI is enabled

Even when you choose to enable AI, we apply multiple layers of protection before any data leaves our systems.

Zero access by default

AI processing is off until you explicitly opt in. Most tools run on demand. Proactive alerts can run scheduled checks while that individual tool remains enabled.

Tool-specific data masking

Structured names are masked in several tools. Images, documents, and free-text notes can still contain identifying details, so each tool states what it sends.

Encrypted in transit

Data sent to and from the AI provider is protected with transport encryption.

Not used for AI training

OpenAI states that API data is not used to train its models by default. Retention follows our provider agreement and account controls.

Instant off switch

Withdrawing consent in Settings immediately stops all future AI calls. No data is deleted from our database - we just stop sending it. You can re-enable at any time.

Individual users

Every user controls their own AI opt-in from Settings. Enabling AI for your account does not affect other members of your care team.

Individual tool controls

After opting in, you can disable any individual AI tool. Its server endpoint and scheduled processing check that setting before AI runs.

Always reversible

Anyone who has enabled AI can disable it instantly from Settings. Consent is withdrawn immediately, no future AI calls will be made. No data is deleted from our systems.

Legal basis

Consent, compliance, and your rights

GDPR Article 9 - Special category data

Health data is classified as special category data under UK GDPR. SeniorGuardCare records explicit consent before optional AI processing and lets you withdraw it. Organisations remain responsible for confirming their lawful basis, notices, contracts, and operating practices.

Provider handling and retention

OpenAI states that API data is not used to train its models by default. Retention follows the provider agreement and account controls applicable to SeniorGuardCare. We do not describe all requests as universally zero retention.

Data minimisation principle

Each tool has a specific disclosure describing its current inputs. Structured names are masked in several tools, while images, document text, and free-text notes can contain identifying or clinical details. Review those disclosures before enabling a tool.

AI-generated content in SeniorGuardCare is designed to organise and summarise information you already hold, not to provide medical diagnosis or clinical recommendations. Every AI output includes a disclaimer. Always consult a qualified healthcare professional before making care decisions.

Common questions

AI questions, answered honestly

Does AI run in the background on my account?

Most AI tools run only when you request them. Proactive care alerts are different: scheduled checks can process a detected care pattern while master consent and the proactive-alert toggle remain enabled.

What is OpenAI and do they store my data?

OpenAI provides the models through its API. OpenAI states that API data is not used to train models by default. Retention depends on the applicable provider agreement and account controls, so we do not describe every request as universally zero retention.

Can I turn off one AI tool without disabling all of them?

Yes. The AI controls page has an individual switch for each tool. The master switch withdraws consent and stops every future AI request for your user account.

What happens to my data if I disable AI?

Nothing is deleted. Your medications, wellness logs, documents, and all other data stay exactly where they are in our database. Disabling AI simply means we stop making any AI API calls for your account. You can re-enable at any time with no data loss.

Is this GDPR compliant?

Health data is special category data under UK GDPR. SeniorGuardCare records explicit consent before optional AI processing and lets you withdraw it. Compliance also depends on the organisation’s purpose, notices, contracts, and operating practices.

Does the AI give medical advice?

No. AI features in SeniorGuardCare are designed to summarise and organise information you already have, not to diagnose conditions or replace clinical judgment. Any AI-generated content should be reviewed by a qualified healthcare professional before acting on it. We include this disclaimer on every AI-generated output.

Can I use SeniorGuardCare without ever enabling AI?

Absolutely. Every core feature works without AI: medications, documents, the SOS card, care team coordination, task management, the MAR, visit notes, risk assessments, and more. AI is genuinely optional. Most users will never need it.
